Internal communication: from operational tool to strategic lever for corporate wellbeing

In many companies, internal communication is still perceived as a set of operational tools: newsletters, digital notice boards, regular meetings.

In many companies, internal communication is still perceived as a set of operational tools: newsletters, digital notice boards, regular meetings. An activity to be managed, rather than planned, by the human resources and marketing teams. A boring, repetitive messaging service that sometimes brings bad news for all other employees and collaborators. Yet, in an increasingly fluid and interconnected organisational context, it is internal communication that makes the difference between a team that works and one that falls apart. Internal communication allows projects, values and strategic information to be shared, creating a more transparent and ethical environment.

Beyond information: the relational value of internal communication

Internal communication is not just about transmitting information. It is about building trust and a shared culture. In my opinion, it is a strategic tool because a company's first real customer is its employees (or collaborators, if you prefer). Clearly, all internal communication activities must be the result of an internal marketing strategy so that they become a space where people feel part of a project, not just executors of tasks, where dialogue is created, not just a one-way transmission of company circulars.

That is why it cannot be relegated to a technical role. It must be thought of as a relational lever, capable of influencing the corporate climate, motivation, retention, capable of creating value because it is a lever for stimulating improvement in the working environment, responsiveness to responsibilities and individual efficiency. An entrepreneur once told me: "Good things are done in healthy, good environments. Positive energy stimulates creativity and productivity." How can you argue with that?

Signs of ineffective internal communication

From experience, I can say that when internal communication does not work, people do not know ‘why’ they do what they do. Sometimes they ask themselves this question, but since no one gives them an answer, at a certain point they start to act mechanically, switching off their critical thinking. Then the internal communication channels are one-way and impersonal, feedback is not collected (or worse, ignored and not even requested). This is because managers are not trained in communication and communication only takes place in emergencies or at “standard” times for convenience.

These signs indicate not only a communication problem but also a cultural fragility. Often, small, targeted interventions are enough to reverse the trend.

How can internal communication be made a strategic lever?

Let's answer this question with some activities that I have put into practice over the years, with consistency and humility, having also grown in my managerial experience in companies that focused heavily on training and internal communication. First of all, internal communication channels must be conceived and designed logically: each medium must reflect corporate values, not just transmit data. Managers must also be trained in relational communication: they are the first internal ambassadors. There may be resistance, but once the first good results are achieved, it is impossible for a project based on sharing and intelligent information to be boycotted. Communication rituals should be designed using different means and creating recurring moments that strengthen the sense of belonging. The media mix of internal communication will therefore create curiosity and, above all, ensure that employees do not ignore company messages. Listening is also a fundamental tool for improving the working environment: active listening means gathering and integrating feedback, not just asking for it.

We can use storytelling because human beings have narrative minds, they love stories and they love to hear them told. I am not talking about “corporate tall tales” but anecdotes, useful information, news and successes that become internal storytelling, a powerful tool for generating identity.

When we start a consulting and training project aimed at improving internal communication, we always begin with three fundamental questions:

Are the client's internal channels consistent with their culture?

Do the people who work with the company feel listened to or just informed?

Which communication rituals strengthen (or weaken) the sense of belonging?

Rethinking internal communication does not mean disrupting processes, but changing perspective. Moving from information to relationship, from transmission to dialogue. This is where a vibrant corporate culture is born, capable of attracting talent, retaining skills and generating well-being.
